Bridgeway is a new kind of healthcare organization providing holistic treatment through addiction recovery, problem gambling treatment, mental health therapy, and primary medical care.
Primary Purpose
The Executive Assistant will primarily provide executive-level support to the Chief Operating Officer (COO) including the Chief Executive Officer (CEO) and Director of Development & Marketing as needed.
Essential Duties and Responsibilities
- Welcome visitors to the office; answer phone calls; take and deliver messages; sort and send mail to ensure the office runs smoothly.
- Provide administrative assistance, such as writing, editing, drafting documents, and preparing communications on the executive's behalf.
- Serve as point of contact for the COO between the agency departments.
- Manage the calendar of the COO, including scheduling appointments and meetings; send meeting invites to attendees.
- Organize meetings by scheduling, sending reminders, managing catering as necessary, and preparing documents/presentations.
- Facilitate various internal meetings by creating meeting agendas, note taking, providing timely meeting minutes, and appropriately following up on deliverables.
- Assist in planning and coordinating conferences, retreats, and external training, including arranging dates, venue reservations, speakers/presentations, facilities, advertising, conference materials, and registration procedures.
- Respond to incoming requests; respond with flexibility to urgent or unexpected requests.
- Provide administrative support to the executive leadership team as needed.
- Perform other related tasks as necessary.
Minimum Qualifications and Experience
Education, Experience, and Credential
- Bachelor's degree in business or other related disciplines; or a combination of education and relevant experience.
- At least 3-5 years of experience performing administrative support, including high-level clerical tasks.
- Superb organizational skills and time management skills.
- Discretion and confidentiality.
- Must possess a current and valid Oregon driver's license with a good driving record.
- Excellent interpersonal communication skills.
- Strong computer skills (Microsoft Office - Excel, Word, Powerpoint).
- Intermediate understanding of federal and state confidentiality, record retention, and HIPAA requirements.
- Must satisfactorily pass the criminal history and reference checks.
- Must be fully COVID-19 vaccinated.
